Abstract

This study aimed to develop and enhance the efficiency of the high-risk medical equipment loan–return management system at Hat Yai Hospital. The primary objective was to reduce the average processing time by at least 10% and minimize operational errors by personnel. The study applied Lean principles in conjunction with ECRS (Eliminate, Combine, Rearrange, Simplify) and quality improvement tools such as Value Stream Mapping (VSM), Fishbone Diagram, Why–Why Analysis, and the Process Decision Program Chart (PDPC) to analyze problems, plan solutions, and design a more efficient system. The results showed that the developed system successfully reduced the average equipment loan time from 84 minutes to 29 minutes (a 65.48% reduction) and the return time from 27 minutes to 17 minutes (a 37.04% reduction), with a significant decrease in non-value-added (NVA) activities. Moreover, human error decreased from 2.98% to just 0.60%. The new system supports web-based functionality, enabling real-time monitoring, tracking, and management of loan–return data, with clearly defined user roles and permissions. User satisfaction was evaluated among 50 respondents, including doctors, nurses, and biomedical engineers. The system received average satisfaction scores in the “very good” range in terms of stability, security, usability, and overall performance. These findings confirm the system’s suitability for practical implementation in the hospital setting. In conclusion, the developed system has proven to enhance efficiency, reduce errors, and significantly improve the management of high-risk medical equipment in a sustainable and systematic manner. Furthermore, it holds the potential to be adapted for use in other hospitals in the future.
