Abstract
A document system is for document management operations, including delivery, storage and retrieval, under assigned officials. Issues from the system included delay in operations, inefficient use of resources, difficulty in searching information in an organization causing inconvenience. The research therefore came up with an idea of developing the document system for Hatyai Technical College by applying 9 steps of SDLC (Software Development Life Cycle), including from consideration of alternatives for system development, requirement gathering, system design and development by creating a system with PHP language as a web application, system trial, verification, and using the system in real life. There are two groups of users for this system, namely Correspondence Officer and Personnel. The lean concept was applied as an important tool to improve work processes and evaluate system performance. Results were that the research was in line with the defined objectives. Document management was carried out conveniently while it saved time and reduced resource usage, and could search information faster. More specifically, a process to receive a letter could be reduced from 5 steps to 3 steps, resulting in time saving from 38 minutes to 6 minutes and increase in work performance from 15.78% to 66.66%, and a process to deliver a letter could be reduced from 5 steps to 3 steps, resulting in time saving from 32 minutes to 6 minutes and increase in work performance from 18.75% to 66.66%. In conclusion, the performance of receiving and delivering a letter was improved by 50.88% and 47.91% respectively.
